Practical default: schedule 2–3 posts/week, Tuesday–Thursday, 9–11am local time, with a hard cap of 1 post/day unless you have a proven reason to do more.

CMS automation considerations (WordPress, Webflow, and headless)

CMS automation looks different depending on where you publish, but the safe pattern is the same: create/update content as a draft first, then change state only after checks pass and approvals exist.

  • WordPress: Use the REST API to create posts as draft (or pending), attach categories/tags, set featured image, add meta title/description, then schedule via date_gmt once approved.

  • Webflow: Push content into a CMS Collection Item as draft. Only flip to “published” after approval, and schedule via your automation layer (since native scheduling may be limited depending on setup).

  • Headless CMS (Contentful/Sanity/Strapi, etc.): Treat “publish” as a separate API call. Store scheduling metadata in fields (publishAt, approvedBy, qaStatus) and let an external scheduler trigger publish when conditions are met.

Regardless of CMS, include standardized fields so every post ships with complete metadata:

  • SEO: meta title, meta description, canonical URL rule (or explicit canonical), index/noindex flag

  • Attribution + tracking: author, reviewer, publish owner, UTM rules for CTAs (where appropriate)

  • Governance: QA status, approval timestamp, rollback version ID

Failsafes that prevent accidental publishes (and make mistakes reversible)

Automation without failsafes is how brands wake up to half-finished posts in production. Your system should assume something will go wrong eventually—and make the safe outcome the default.

Use a two-step state model (minimum):

  1. Create as Draft: The automation can generate and populate the post, insert internal links and CTAs, and run checks—but it cannot publish yet.

  2. Promote to Scheduled/Published: Only after approvals and pass/fail checks does the system schedule or auto-publish.

  • “No forced publish” policy: If the system can’t confidently set a publish time (time zone conflict, queue collision, missing category), it stays Draft and alerts.

Rollback plan (because things slip through):

  • Versioning: Store a content snapshot/version ID before publishing (or before any publish-state change).

  • Instant unpublish switch: A single action should revert to draft/unpublished if an issue is detected.

  • Redirect/canonical safety: If a URL changes, auto-generate a redirect request (or block publishing until redirect rules are defined).

Notifications & alerts (so “set and forget” doesn’t mean “silent failure”):

  • Pre-publish alert: “Scheduled for tomorrow at 10:00am ET” with the final title, URL, category, and QA summary.

  • Publish confirmation: Sent when the CMS confirms the post is live, including the live URL and timestamp.

  • Exception alerts: Any failed API call, permission issue, missing required field, or failed check triggers an alert with the exact reason and the post ID.

  • Post-publish monitor: Re-check the live page for indexability (no accidental noindex), canonical correctness, and broken links.

Bottom line: auto-publish should be the last step your system is allowed to take—and only when everything upstream is verifiably ready. That’s how you get consistent output without the “surprise post” problem.
